Virtual Advising


All new students participate in virtual advising. You will select a virtual advising date as you complete the orientation registration. During virtual advising, you’ll meet one-on-one with an academic advisor in your college. Your advisor will provide more details on course selection, the academic catalog, and the course registration process.

You will not be allowed to participate in virtual advising until you’ve officially completed your orientation registration. 

Preparing for Virtual Advising

UT takes virtual advising seriously, and there is an expectation that students take it seriously as well. Advisors may ask students to reschedule their virtual advising appointment if certain guidelines are not met.

NOTE: All virtual advising appointments are referenced in Eastern Standard Time (EST). Be sure to make the conversion to your local time if you are located in a different time zone.

To ensure the most positive, productive advising experience, your academic advisor strongly recommends that all new Vols follow these guidelines:

  • Ensure you can login to your MyUTK and Tennessee Zoom accounts using your UT NetID and password at least one business day prior to your appointment. 
  • It is recommended that you use a computer rather than a phone or tablet due to screen-sharing features
    • Please make sure that you are using either Chrome or Firefox. 
  • Observe appropriate Zoom etiquette:
    • Find a quiet, stationary location (please do not be in a moving vehicle) for your appointment, free of distractions
    • Dress appropriately and offer your undivided attention
  • In addition to learning more about your major and creating a personalized academic plan, you will register for classes during your appointment.
    • Please be aware that this is a professional meeting.  You will need to be prepared to take notes, ask questions, and participate.
    • Please limit distractions – do not be at work, the pool, in the car, your bed, etc. Your advisor reserves the right to have you reschedule your advising appointment if you are not prepared.
    • Come prepared to plan for your first semester at UT (we will plan future terms with you at a later time)
  • Keep your original appointment, if at all possible.  If you must reschedule, advisors will do their best to help, but it may be later in the summer
  • While we greatly appreciate and encourage family support and involvement, advising appointments are designed to be a 1-on-1 experience between you and your advisor

When will I hear from my academic advisor?

You’re probably wondering when you’ll hear from your advisor, and when you’ll find out specifically what time your appointment will take place. Each college does things a little differently. Click on your academic college below to learn more about when you can expect to hear from them!

Students will receive an email from the College of Architecture and Design Advising Staff approximately 7-10 days before their scheduled virtual advising appointment. This email will include instructions and links for some preliminary catalog exploration along with other expectations for the appointment.

First Year Students: You will receive an email from the College of Arts & Sciences at least 7 days prior to your virtual advising session with a zoom link and more details about your day.  You will begin with a college advising presentation at 10:00 a.m. Eastern and end with a one on one appointment with your academic advisor where you will register for your first semester of classes.  If you are unable to commit to a full day (approximately, 10:00-4:30 Eastern), please select a new virtual advising date by emailing orientation@utk.edu.

Transfer Students: You will receive an email from the College of Arts & Sciences at least 7 days prior to your virtual advising session with instructions on how to access our online transfer advising module.  Our College asks that you participate in this module prior to scheduling your advising appointment.  After completion, you will be able to schedule a one on one appointment with your academic advisor where you will register for your first semester of classes.

School of Music Students: You will receive an email from the School of Music with details of your virtual advising session at least 7 days prior to your scheduled date. 

Teaching Licensure Students: As a student with a major in the College of Arts and Sciences who is planning to obtain secondary (middle/high school) education teaching licensure in your major subject area, your advising appointment will be conducted with an advisor in the College of Education, Health, and Human Sciences (CEHHS). A CEHHS advisor will contact you about a week prior to the advising date you selected when you registered for Orientation. In that initial outreach, your advisor will provide a specific meeting time, Zoom location, and additional academic resources for you to review prior to your advising meeting. Your scheduled virtual appointment should take approximately 30 – 45 minutes, but please set aside an additional hour prior to your meeting to review any academic resources/videos recommended by your advisor in their initial outreach.

Students will receive an email from the College of Architecture and Design Advising Staff approximately 7-10 days before their scheduled virtual advising appointment. You will receive two communications from CCI Advising via UT email:

First email: You will receive an email from the College of Communication and Information approximately 7 days prior to your virtual advising session with instructions on how to access our online advising module.  We ask that you participate in this module prior to your scheduled virtual advising date. If you are unable to commit to a full day (approximately, 8:30am-4:30pm Eastern), please select a new virtual advising date by emailing orientation@utk.edu.

Second email: We will reach out to you via UT email with information about your appointment time no later than 48 hours before your scheduled virtual advising appointment. This email will also include a Zoom link for your scheduled virtual advising appointment. 

Please plan to be available between 8:30am – 4pmEST on your selected virtual advising appointment date.

A CEHHS advisor will contact you about a week prior to the advising date you selected when you registered for Orientation.  In that initial outreach, your advisor will provide a specific meeting time, Zoom location, and additional academic resources for you to review prior to your advising meeting. 

Within ten days of registering for orientation, you will receive an email from our college giving you a little more information about Virtual Advising and Registration and confirming your chosen date for Advising and Registration. As we get closer to your Advising and Registration date, we will send you more information and an invitation via Volmail to select your advising time. You will receive this invitation at least two weeks before your advising appointment. This appointment invitation can only be sent to your Volmail. We will have advising appointments available in the morning and afternoon. These appointments will fill on a first-come, first-served basis, so please sign up for your appointment as soon as you are able. You will also receive a link for a video to watch and quiz to complete prior to your appointment. You cannot register for classes until you complete the video and quiz.

We will contact students no later than one week before their scheduled Orientation date to provide information about scheduling their specific appointment time.

Students should monitor their UT email for directions one week prior to their virtual advising date. These directions will include the agenda, link, and specific time for their Virtual Advising Appointment. Students will also receive helpful information to review prior to their New Student Orientation Advising. 

Students entering the College of Social Work will be sent an email from our College within one week of signing up for orientation and selecting your virtual advising date.  This email will provide you with more detailed information around your virtual advising experience. All students will be expected to attend a one hour college information session from 9:00am- 10:00 am (EST) on their virtual advising day. Two weeks prior to your selected virtual advising date you will be emailed a link to select a 30 minute virtual advising time that works for you.  During that time you will meet with your advisor individually and create an academic plan based on your personalized goals.  After your individual advising appointment you will be assisted in registering for your classes, we recommend students plan for an hour to complete the registration process. 

Engineering advisors will email students one week prior to their assigned virtual advising date. This email will include a zoom link and assigned appointment time.

Transfer students admitted as University Exploratory, University Early Transition, and University Advanced Transition are advised by Academic & Career Exploration Coaches in the Center for Career Development & Academic Exploration. Plan for your appointment to be one hour and conducted over Zoom.

Please periodically check your Vol Mail account for details about your advising session. While you selected an advising date, we are sometimes able to meet with you sooner and will communicate with you if we can. You will register for classes during your advising appointment.

Virtual Advising FAQs

Of course. If the date you selected no longer works for you, you can reschedule. Email orientation@utk.edu and our team will provide additional available dates. 

Note: Rescheduling your date may delay your ability to participate in virtual advising. You will only be able to reschedule for dates based on current availability.

To request a new appointment time, simply contact your advisor directly. They’ll let you know if an alternate advising time is possible. We recommend responding to the email you received from them, or you can email/call your advising office directly. Check out this website to find their contact information!

Note: Keep in mind that your college may not be able to offer an updated appointment time for the same date, and that rescheduling your time may result in needing to select a new date entirely.

We recognize some family members might want to join their student during the virtual advising process. However, we ask that students participate in virtual advising alone. If family members have questions they want answered, we encourage them to share those with their student ahead of time. This is an important time for new students to establish a relationship with their advisor, and we appreciate our new family members’ understanding and commitment to their students’ academic success!

It depends on your academic college! However, we encourage you to block off most of the day so you’re able to participate in all sessions your college might require, including your one-on-one appointment.
